A project is considered confirmed when the client signs an agreement, approves a quotation or proposal, confirms through email or an authorised digital channel, pays the required advance, or work begins following the client’s instructions. After confirmation, team resources, production schedules, media inventory, creators, locations, equipment, or third-party services may be reserved.
Cancellation requests must be sent in writing to info@eastenmediatech.com and become effective only after acknowledgement by Easten MediaTech. Verbal cancellation or messages sent to unauthorised team members may not be treated as official cancellation.
Cancellation charges may depend on work completed, resources committed, vendors booked, media inventory reserved, shoot schedules, third-party expenses, and notice provided. Advance payments generally reserve resources and may be non-refundable once work begins. Refunds, where approved, are limited to unused recoverable balances after deducting completed work, taxes, transaction charges, and committed expenses, and are ordinarily processed within 7–15 working days.
Photography, videography, commercial production, celebrity shoots, cinema, OTT, newspaper, outdoor, influencer, creator, and other media bookings may involve crew, equipment, location, artist, travel, accommodation, vendor, or third-party cancellation charges. Once inventory or services are booked, cancellation or refund may not be available, and rescheduling may involve additional charges.
Monthly social-media, digital-marketing, and ongoing management services should be cancelled according to the agreement, or with at least 15 days’ written notice before the next billing cycle where no notice period is specified. For website or app projects, completed milestones remain payable, deposits may be non-refundable, and domains, hosting, plugins, APIs, licences, templates, software, and third-party services are generally non-refundable. Handover of source code or administrator access is subject to full payment.
We may suspend or terminate services if payments are overdue, required information or approvals are missing, credentials are unavailable, instructions are unlawful or misleading, the client breaches an agreement, the project creates legal or reputational risk, team members face threats or abuse, platform policies are violated, or a third-party platform prevents completion. Suspension does not waive outstanding payment obligations.
After termination, outstanding invoices become immediately payable, work and campaigns may stop, unpaid deliverables may be withheld, third-party services may be discontinued, agency-owned system access may be removed, confidentiality and intellectual-property obligations continue, and client-owned recoverable materials may be returned after account settlement. Information may be retained where required by law or legitimate business necessity.
A project may be treated as inactive if feedback, content, approvals, access, or payment is not provided for 30 consecutive days. After notice, the project may be placed on hold, rescheduled, subject to restart fees, or closed as abandoned after continued inactivity. Until full payment is received, drafts and unpaid deliverables remain the property of Easten MediaTech and may not be published, reproduced, modified, or commercially used by the client.
Parties should first try to resolve disputes through good-faith written communication, with project or invoice references and supporting records. If unresolved, mediation, arbitration where mutually agreed, or remedies under applicable Indian law may be used. This policy is governed by Indian law, with courts having jurisdiction in Sahibzada Ajit Singh Nagar, Punjab.
